Document Formatting Requirements
* Submit documents on 8.5 x 11 inch white or light colored paper of at least 20 pound weight without visible watermarks or other visible inclusions. Documents can consist of multiple pages which may be stapled together for presentation for recording but should not be permanently bound. Continuous forms will not be accepted for multiple-page documents. Do not include any attachments affixed to any page with staples, tape, or otherwise, except for firmly attached bar codes or address labels.
* Use a font size of at least 8 point and black or dark ink. All text, seals, drawings, signatures, and other content must be sufficiently legible to produce a legible image. If a document contains print smaller than 8 point, it must be accompanied by an exact legible re-typed copy which will be recorded with the original and counted as additional pages. Printing should be single-sided only.
* Signatures should be in dark black or blue ink and should have corresponding names written or typed beneath.
* Provide a top margin on the first page of at least 3 inches. Side and bottom margins should be at least 3/4 of an inch. Non-essential information such as form number, page numbers, or customer notations may be placed in the margins, except for top margins.
* The grantor must sign the instrument and have his/her signature acknowledged.
* The selling price of real estate is not required to be listed on recorded documents.
FIRST PAGE DESIGNATIONS
Below the 3-inch margin on the first page, provide the following information:
* The title of the document. The title does not need to be identified as such if it is clearly the title.
* The date of the document.
* All grantors' and grantees' names. Grantors and grantees must be designated in order to be indexed. There is no limit as to combinations or exclusions, but must include the words "grantor" and "grantee." It is the filer's or preparer's responsibility to make these designations.
* Any statutory addresses. Statutory addresses must also be designated. (i.e. "grantee's mailing address)
* A legal description of the real property. It is sufficient if the legal description begins on the first page so long as it continues uninterrupted on the second page.
* Reference book and pages, if required.
If there is not sufficient room on the first page, the page reference within the document where the information is set out shall be stated on the first page. Page references may also include references to attached exhibits. If one of the required fields begins on the first page and continues uninterrupted to subsequent pages, this will satisfy the first page requirement. Having all of the information on the first page facilitates indexing.
If no grantor/grantee designations are made, the document may be rejected or it can be filed as a non-standard document.
If the submitter demands recording without designations, the Recorder will not index by grantor or grantee but will show the rest of the required information on the index.
If there are differences between the information contained in the cover sheet and within the document, the cover sheet is the indexing rule.
A cover page is not required but if one is used, it must have the top 3-inch margin and the necessary indexing information. A cover page does not have to be numbered.
References on the cover sheet must match pre-numbered pages of the document.
