Documents that meet the statutory requirements but are exempt from the formatting standards will have only the per-page recording fee schedule applied.
For a document that releases or assigns more than one item, there is a $5 charge per each additional item.
Real estate copies are $1 per page. Certification of a document is $1 per document.
All documents that are rejected will be returned with a reason for the rejection.
Document Formatting Requirements
Submit documents on white 8.5 x 11 inch paper without watermarks or logos. Printing should be in black or dark ink and on one side of the page only. Do not use continuous forms or permanent binding; however, forms may be stapled when presented for recording. Use a font size that is at least 8 point. Non-essential information contained in the margins is exempt from the font size requirement. Attachments to a page may not be stapled or taped, other than a securely attached barcode label. "Attachment" does not refer to an exhibit, but additions to a document page.
All deeds must be signed and acknowledged by the grantor. Signatures must be in black or dark ink to insure that they can be reproduced. All signatures must have a corresponding name printed or typed beneath them.
The top three inches of vertical space on the first page is designated for the recorder's certification. All recorders' certificates will be placed in this area.
All other margins on the first page and on subsequent pages should be a minim of three-quarters of an inch.
Every document (except plats and surveys) containing any of the following items shall have such information on the first page, below the 3-inch margin:
1. Title of the document.
2. Date of the document.
3. All grantors' names.
4. All grantees' names.
5. Any statutory addresses.
6. Legal description.
7. Reference book and pages, if required.
If there is not sufficient room on the first page, provide a page reference within the document where the information appears. If at least one of the required fields begins on the first page and continues uninterrupted to subsequent pages, this will satisfy the first-page designation requirements.
A cover page is not required, but if one is presented it will be recorded as the first page of the document. If a cover page is used, it must have the 3-inch top margin and the required first-page designations.
If presenting a document for re-recording, in addition to all other requirements, there must be a new first page or cover page with the 3-inch top margin and the required first-page designations.
Grantors and grantees must be designated in order to be indexed. There is no limit as to combinations or exclusions, but the words "grantor" or "grantee" must be included. The filer or preparer of the document is responsible for making designations.
Statutory addresses must also be designated (for example: "grantee's mailing address").
The address of the property is not an acceptable legal description.
Book and page references are required on certain documents. If these are required, they must also be designated.
A foreign language document or proof of acknowledgment must be accompanied by a sworn English translation.
