If the name or names of any signer or notary public are not plainly typed or printed under the signatures, the register of deeds shall charge and collect a fee of $1.00 in addition to all other fees provided in this schedule. K.S.A. 28-115(d)

If sufficient space is not provided for the necessary recording information and certification on a document, such information shall be placed on an additional sheet and such sheet shall be counted as a page.

The document shall be of sufficient legibility to produce a clear and legible reproduction. If a document is judged not to be of sufficient legibility, such document shall be accompanied by an exact copy thereof which shall be of sufficient legibility to produce a clear and legible reproduction and which shall be recorded contemporaneously with the document and shall be counted as additional pages. The Register of Deeds may reject any document which is not of sufficient legibility

Office requests a self-addressed stamped envelope for any document that is to be mailed out.

Document Formatting Requirements

* A conveyance should be dated and signed and acknowledged by the grantor.

* An original or certified copy of an original is accepted for recording.

* A document must be sufficiently legible in order to be recorded. Black ink with a font size of at least 12 point should fulfill this requirement.

* Page size is not to exceed 8.5 x 14 inches. A paper size of 8.5 x 11 inches is also accepted.

* On the top of the first page of the document, include a margin of 3-inches. The bottom margin on the first page should be 1 inch. On subsequent pages, the top and bottom margins should be 1 inch. Side margins should be at least an inch.

* Upon recording the document, the grantor shall furnish the full name and last known address of the grantee to the register of deeds. The register of deeds will then forward this information to the county clerk who will make necessary changes in address records for mailing tax statements.

* A legal description of the real property being conveyed should be included in the document.

* Names should be printed or typed beneath signatures.

A Kansas Real Estate Validation Questionnaire should accompany all documents of conveyance. If a document is exempt from the Questionnaire, the exemption should be clearly stated on the document being filed. For assistance with this form, contact the county appraiser's office.
